With shipments increasingly subject to both informal and formal customs checks, providing accurate and complete information is more important than ever. Below we’ve outlined the four main reasons why shipments are most often delayed and how you can prevent it happening to yours.
1. Incomplete Descriptions
One of the most common reasons for a shipment being held is an unclear description of the goods. If customs cannot determine exactly what the item is, what it is made from or what it is used for, they will place the shipment on hold until further details are provided. This also increases the risk of incorrect duties or taxes being applied.
To avoid any delays, always provide a clear and specific description of each item, for example “car radiator hose made of rubber.” The description must be complete, accurate and written in English on both the Air Waybill (AWB) and the commercial invoice.
2. Missing Importer Number
Customs authorities use importer numbers, such as an EORI in Europe or a Tax ID in the United States, to confirm the receiver’s identity. If this number is not provided, the shipment will not be cleared and will be placed on hold until a valid number is supplied.
To prevent delay, confirm the importer number with your receiver in advance and include it on the commercial invoice. Make sure the number provided is accurate and matches the official identifier assigned for customs clearance.
What is an EORI number?
EORI number stands for, Economic Operator Registration and Identification number (EORI). All businesses that ship to or from the UK must have an EORI number. A separate EORI is also required for shipments moving to or from the EU.
3. Product Composition
Another common reason for delays is missing information about what a product is made from. Customs authorities require a detailed breakdown to classify the product correctly and to apply the right duties and taxes.
To ensure smooth clearance, include the materials on your paperwork and, where possible, add the HS code. Even simple products must be described clearly, for example, instead of writing “car parts,” specify “car radiator hose made of rubber.”
4. Missing Manufacturer identification
Shipments may also be delayed if the manufacturer’s details are missing. For shipments to the United States this is especially important, as full details or a Manufacturer Identification (MID) code are required.
To avoid any hold ups, always include the manufacturer’s name and address on your Air Waybill and commercial invoice. If you do not already have an MID code, you can generate one using the manufacturer’s official business details.
